Scope of the policy
The policy applies to use of the site and to information provided through the contact forms or other means of communication appearing on it. Use of the site constitutes agreement to the principles set out in this policy, subject to applicable law.
Information that may be collected
- Information you choose to provide in an enquiry, such as name, organization or role, email address, subject of the enquiry and message content.
- Basic technical information that may be recorded by the hosting provider or external services, such as IP address, browser type, operating system, access times and pages viewed.
- Additional information provided at your discretion during a professional engagement following the initial enquiry.
- Answers you provide in the community diagnostic questionnaire, if you choose to complete it and approve saving them. Details in the community diagnostic questionnaire section below.
There is no general legal obligation to provide information through the site, but without basic details it may not be possible to get back to you or handle the enquiry.
Community Diagnostic Questionnaire
The site offers a community diagnostic questionnaire, opened with a personal access code. It collects information about the community and how it is run, including community name, type, size, age, the respondent's role, challenges and goals, activity circle data, and answers about the state of the community's systems.
Responses are sent to and stored in a Google Sheets spreadsheet held in a private, password-protected account. They are used to produce the diagnostic report, prepare follow-up consulting work, and compare trends across communities in aggregate and without identification. Storage happens only after explicit consent is given at the start of the questionnaire, and completing it is never required.
Please do not enter personal details of other community members. Questionnaire responses are kept for up to three years from the date of completion, or until a deletion request is received, whichever comes first.
Purposes of use
- Responding to enquiries and scheduling calls or services.
- Preparing a proposal, providing consulting or managing a professional engagement.
- Improving the functioning of the site, its security and the user experience.
- Meeting legal, accounting or regulatory obligations, as applicable.
Sharing information with third parties
Personal information is not sold to third parties. Information may be shared with providers who assist in operating the site, hosting, email or managing professional services, to the extent required for their role. Information may also be shared where required by law or in order to protect rights.
Cookies and external services
In the current version of the site, no advertising or marketing behaviour analysis systems have been intentionally installed. The hosting provider and external services used to display the site, including font services, may process technical information in accordance with their own policies. If measurement or marketing tools are added in the future, this policy will be updated accordingly.
Retention and security
Information is kept for as long as needed to handle the enquiry, manage the engagement and protect legal rights, and no longer than reasonably required. Reasonable security measures are used, but no online system is entirely immune to unauthorised access or malfunction.
Rights and enquiries regarding information
You may request to review personal information, correct inaccurate information or request its deletion, subject to law and legitimate record-keeping needs. Requests can be sent through the contact form on the site.
This policy may be updated from time to time. The date at the top of the page indicates the most recent update.
